Before securing a reservation, please review this policy closely. By reserving a charter with Ocean's Echelon Yacht Club, you are accepting and consenting to these conditions for refunds.

Standard Cancellation and Refund Schedule

More than 72 Hours Before Charter

100% Refund

Entitlement: Entire refund excluding processing charges

Processing Duration: 5-7 business days

Handling Charge: £50 for credit transactions

Requirements: Must be requested through written communication such as email or over the phone

24-72 Hours Before Charter

50% Refund

Entitlement: Half of the total charter cost

Processing Duration: 7-10 business days

Handling Charge: £25 subtracted from the refund amount

Requirements: Legitimate reason required; administrative fees incurred

Less than 24 Hours Before Charter

No Refund

Entitlement: Refunds are not available

Special Consideration: Cases of emergency may receive special attention

Alternative: We may provide a credit for chartering at the discretion of management

Requirements: Documentation is necessary for emergency reasons

Weather-Related Cancellations

Our Commitment to Safety

We prioritize safety above all. If the charter cannot proceed due to unsafe weather as determined by our certified captain, we offer adaptable solutions:

  • Full Refund: A complete refund if rescheduling isn’t an option
  • Schedule Adjustment: Reschedule to another available date without incurring extra costs
  • Charter Credit: A credit that remains valid for one year from the original booking date

Weather Determination Procedure

Assessment for weather includes:

  • Examining wind patterns and velocity
  • Inspecting sea conditions and wave height
  • Predictions of visibility and precipitation levels
  • Adhering to maritime advisories and warnings
  • Evaluations by the captain for safety

Notification Period: Decisions pertaining to weather cancellations are made no more than 4 hours before the planned charter time.

Medical Emergency Refunds

Emergency Situations

We're sympathetic to unforeseen medical situations. The following may be eligible for special refund consideration:

  • Sudden medical emergencies necessitating hospitalization
  • A family member's passing
  • Compulsory military duty or unexpected recall
  • Summoned for jury duty or to court
  • Travel obstacles due to natural disasters

Documents Required

For processing emergency refund claims, we ask for:

  • Hospital records or a doctor's note
  • A death certificate if relevant
  • Documentation for military movement
  • Proof of legal obligations such as subpoenas
  • Affected travel advisories or emergency mandates

Procedure: Refunds for emergencies are managed within 3-5 working days upon submission of the necessary proof.

Operational Cancellations

Vessel Malfunction

If the yacht assigned to you confronts mechanical difficulties that remain unsolved:

  • Replacement Vessel: Efforts will be made to supply a suitable substitute vessel
  • Complete Refund: Offered if no alternative is readily available
  • Partial Refund: Applied if the substitute vessel has different pricing
  • Recompense: You may be provided additional compensation for the trouble experienced

Crew Unavailability

In the infrequent situation of certified crew unavailability:

  • Provisional crew arrangements are initiated when feasible
  • A full refund if the charter cannot continue
  • An option to reschedule without any additional fees

Refund Processing

Method of Reimbursement

Approved refunds will be processed back to the original method of payment:

  • Credit Cards: Typically, 5-7 business days
  • Bank Transfers: Generally, 7-10 business days
  • Cash/Cheque: Usually, 3-5 business days

Processing Charges

Credit Card Fees

£50 charge for cancellations with more than 72 hours' notice

Bank Transfer Fees

£25 charge for all bank transfer reimbursements

International Fees

Extra costs may be incurred for international transfers

Charter Credits

Issuance of Credits

Credits for chartering may be provided rather than refunds under specific scenarios:

  • Cancellations occurring with less than a day's notice
  • Charter cancellations due to weather
  • Requests made voluntarily to reschedule
  • Disruptions in operations

Credit Guidelines

  • Validity: 12 months from the date of issuance
  • Non-transferable: Credits cannot be transferred to others
  • Value: Corresponds to the complete charter value, without processing fees
  • Application: Can be applied to any future charters subject to availability
  • Expiry: There will be no extensions past the 12-month period

Partial Service Reimbursements

Service Disruptions

In the event that your charter experience is curtailed or interrupted owing to reasons within our control:

  • Reimbursement calculated on the unused proportion
  • Charter credits matching the undelivered service value
  • Extra complimentary services or upgrades may be offered

Guest-Originated Disturbances

If the charter is prematurely ended due to misconduct or safety infractions by guests:

  • No recompense for the unused duration
  • Full price remains payable
  • Potential extra charges may be levied

Resolution of Disputes

In the event that you contest the outcome of a refund verdict, you may:

  • Seek a reassessment by our executive team
  • Submit further proof or clarification
  • Approach consumer protection organizations for assistance
  • Explore legal channels as per jurisdictional laws

  • The cause behind cancellation

Step 3: Verification and Processing

We will confirm receipt of your claim within a day, evaluate it in line with our policy, make a resolution within two days, and execute endorsed refunds in the prescribed processing timeline.

Essential Remarks

  • All requests for refunds must be articulated in writing
  • Refunds are issued in £ irrespective of the original payment currency
  • We highly advise purchasing travel insurance
  • Our policy is subject to changes, given a notice period of 30 days
  • Refunds adhere to relevant taxes and legal stipulations
